Beechview Swim Club is a private club formed and operated for the benefit and enjoyment of all of its members. As such, Beechview is not in the business of catering to members who wish to host private parties. When a member(s) wants to host a party at Beechview, the primary concern is the impact such party has on the ability of other members to use and enjoy their Club.
Generally, a "private party" is defined as a non-Club sponsored party on Club property involving more than 6 individuals or 2 families who are not members of the Club. Private parties are not allowed on Opening/Closing weekends, Holidays, or other nights specified by the Board of Directors. Such as Open House and TGIF.
a. Any private party must be hosted by an active member in good standing. The hosting member must be in attendance at the party for the duration of the event. All of the rules and regulations of BVSC apply to the guests of the hosting member.
b. The Facility Manager (or designee) must be contacted first to reserve a time for the planned party.
Reservations are available on a first-come, first-served basis.
Private parties will not be scheduled to occur concurrently. All party plans, including but not limited to, the description of the event, date/time, activities planned, guest list, etc., must be reviewed and approved by the Facility Manager or his/her designee. This information must be submitted not less than 3 days in advance of the planned party.
A $25 deposit is required at the time the reservation is made. The deposit is forfeited if the party is cancelled less than 48 hours in advance.
c. At least 50% of the people attending the party must be Club members. The Club member hosting the party will be charged regular guest fees for each non-member attending the party. Birthday parties for children (age 13 and under) ARE permitted and are exempt from the 50% rule. Children's birthday parties are limited to 12 children and the appropriate number of adult supervisors (not less than 1 adult per 3 children for children under the age of 9). All other private party guidelines apply to children's birthday parties.
d. Neither Club management nor staff members on duty are to serve the private party.
e. The entire duration of the party must be within normal operating hours of the Club.
f. The Club is open and all of its facilities are available to its members until normal closing and cannot be closed for private parties. The private party cannot disrupt, discourage or interfere with normal snack bar operations. However, up to 3 picnic tables and one gas grill may be set aside for use by the private party, if requested.
g. The hosting member is responsible for cleaning up from the private party before leaving. Staff will not clean up after the party. If clean-up is not adequate, in the opinion of the Facility manager, the $25 deposit is forfeited. h. The hosting member agrees to be personally responsible and liable for any and all damages and expenses suffered by the Club, its members, guests and others arising from their private party, and to pay the Club in full for such amounts when requested to do so by the Board.
THE BOARD OF DIRECTORS RESERVES THE RIGHT TO REFUSE ANY REQUEST FOR PARTIES, AND TO IMPOSE ANY OTHER REQUIREMENTS IT MAY DEEM NECESSARY IN ORDER TO PROTECT THE INTERESTS OF THE MEMBERS OF THE CLUB. THE BOARD OF DIRECTORS RESERVES THE RIGHT TO TERMINATE PARTIES AND DISCHARGE PARTY GUEST IT MAY DEEM NECESSARY IN ORDER TO PROTECT THE INTERESTS OF THE MEMBERS OF THE CLUB. THE ON-SITE CLUB MANAGERS SHALL HAVE THE RIGHT AND RESPONSIBILITY TO EXERCISE THIS AUTHORITY AT THEIR DISCRETION.
